Privacy Policy

Information on how we handle, store, and protect your personal data in compliance with GDPR.

What data we hold

We hold the minimum data about customers to enable us to efficiently run our business. The data held includes:

  • Customer name, address, phone number, and email address.
  • Customer additional emergency contact names and numbers.
  • Your registered veterinary practice details.

Note: The General Data Protection Regulation (GDPR) applies to data that can identify a living individual. This does not include animals.

How your data is used

We may use email and/or SMS text to communicate with you and/or your vet or emergency contacts. We do not sell any of our customers' information.

We may need to share your name/address with trusted parties such as your (or our) vet as needed should your pet require medical attention, or if we need to validate information such as vaccination dates.

Third-party software & partners

We use the following software/partners to run our business, each of which has strict privacy policies in place:

  • FreeAgent: Used for our accounting system.
  • SumUp: Used for secure payment processing via card.
  • Barclays Bank PLC: Our business bank account provider.
  • Google Workspace (G Suite): Used as our main tool for supporting the running of our business. Our website is hosted on Google and we use Google tools such as email, spreadsheets, and documents.
  • Accountants (Thomas Westcott): Our accountants are provided access to our FreeAgent accounting system as necessary.

Data retention

We delete (or anonymise) data from individuals who are no longer customers after 26 months. Please note that "no longer a customer" means we have not had contact or a booking with you within that timeframe.
